The position provides full administrative support to the leader and organization of Global Pharmacovigilance Case Management. The position provides the unique opportunity to interact with staff in global locations such as Colombia, Costa Rica, China and Poland. The position requires excellent organizational skills, professional communication and interpersonal skills, the ability to coordinate and perform multiple tasks with competing details, and extraordinary attention to detail. The position will report to the Executive Director, Global Pharmacovigilance Case Management.

Education Minimum Requirement: High School Diploma

Required Experience and Skills:

  • Minimum 8 years Administrative Assistant experience

  • Minimum 3 years Administrative experience supporting senior or executive level management position

  • Exceptional organization and time management: ability to handle and prioritize a large number of simultaneous assignments for multiple people and programs with competing deadlines

  • Outstanding interpersonal skills and ability to engage effectively with Merck executives, internal and external stakeholders.

  • Excellent verbal and written communication skills which may include drafting and issuing agendas, minutes and communications

  • Advanced computer skills using (MS Outlook, Word, Excel, Power Point) and operation of other Merck/MSD internal systems

  • Advanced knowledge of Budget &Expense system in SAP and experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports within SAP

  • Demonstrated experience coordinating/scheduling multi-leg international and domestic trips requiring processing of Visa/Passports.

  • Good judgment and discretion, handling of sensitive documents with confidentiality

  • Ability to work independently and with little supervision

  • Event, meeting planning/coordination experience

  • Extraordinary attention to detail

  • Independent judgment and problem-solving skills

  • Advanced clerical/administrative abilities with a history of strong performance

  • A working knowledge of the priorities of the team, which allows for an efficiently run Leadership Team and a focus on key aspects of work.

  • Experience dealing with individuals from diverse backgrounds.

  • Team player

Preferred Experience and Skills:

  • Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

  • Experience working witih individuals from diverse cultures

  • Demonstrated understanding of Merck policies and procedures
